THE GREENWOOD INITIATIVE
Bloomberg Philanthropies’ Greenwood Initiative is a philanthropic effort to catalyze wealth accumulation across generations for Black families and address decades of underinvestment and wealth extraction in Black communities nationwide. Partnering with individuals, communities and institutions, the Greenwood Initiative uses data to develop and implement ambitious and innovative strategies that advance racial wealth equity. Through its partnerships and convening power, the first-ever Bloomberg Philanthropies portfolio dedicated to racial wealth equity aims to create the conditions for more Black people to acquire resources, expand community ownership and increase their influence through economic power.
Bloomberg Philanthropies has long been committed to improving quality of life and increasing equitable access to opportunity in communities across the world.
To date, the portfolio has invested $896 million which includes a $600 million gift to the endowments of the nation’s four historically Black medical schools – building on a previous investment of $100 million to these schools to reduce the debt of future Black doctors. The Greenwood Initiative is also working to empower local leaders to drive racial wealth equity agendas; ensure the equitable transfer of Black wealth across generations; expand access to comprehensive wealth data disaggregated by race; and has invested in childhood savings accounts for kindergarteners in Brooklyn.

THE ROLE
We are seeking an Administrative Project Manager to provide administrative and project coordination support for Greenwood Initiative Lead and team. This role will be responsible for administrative support and project-based tasks and responsibilities. This role requires an individual with outstanding communication and interpersonal skills, who is agile, discreet and organized with the confidence to ask pertinent questions, grasp concepts quickly, and think beyond specific tasks.
You will ensure that the Greenwood Team and Lead are operating at the highest level, by exercising an exacting attention to detail that cultivates optimal information sharing, smooth workflow, and follow through. You will ensure work is accurate, consistent, and is delivered in a readily usable form on a timely basis. You are energetic, curious, collaborative, and enjoy problem-solving. You are comfortable handling multiple priorities and working across partners, both internal and external. You are thorough with a strong work ethic and will thrive in a fast-paced, results-driven environment.
A critical function of this role is drafting, leading, and maintaining a detailed day-to-day run of show for the Greenwood Initiative Lead and team. Providing support that is anticipatory, timely, and organized is integral to our efficiency. The role is based on New York City.
KEY RESPONSIBILITIES
- Reporting to the Chief of Staff, providing day-to-day administrative and workflow coordination to ensure that the team is equipped to deliver their work as required
- Handle the Team Lead’s calendar(s), including scheduling appointments, arranging meetings, anticipating needs and ensuring that any vital administrative and technological resources are provided
- Accountable for notes and follow-up from meetings and events, including communicating with internal and external team members as well as supervising the delivery, closure of tasks and action items to ensure projects are on schedule and deadlines are met
- Maintain processes for organization and collaboration among project partners and provide clear reporting
- Actively assist with projects as needed, including responding to priorities and resourcing needs as they shift over the lifecycle of programs
- Draft email correspondence, memos, briefings, presentations and recaps from meetings for a broad audience
- Maintain data and project updates for internal check-ins and coordination with other Bloomberg teams
- Maintain digital records and files related to ongoing work including, updating project management tools and creating organized file systems
- Field questions to appropriate team members, respond to employee and outside inquiries, and ensure timely response to urgent issues
- Assist with team operations including team meetings, team retreats and other operations functions as needed
- Handle the Team Lead’s expense reports as well as coordinating travel arrangements, including flights, ground transportation, hotels, etc.
- Maintain flexibility to do other tasks as required to support a lean team
QUALIFICATIONS OF THE IDEAL CANDIDATE
You are accustomed to seeking, receiving and applying feedback with a positive demeanor. You are committed to advocating for the importance of accumulating and transferring wealth across Black families, Black institutions and within Black communities to remedy centuries of wealth extraction.
- A minimum of 7 years of professional experience, with strong preference toward candidates bringing prior executive assistant experience in a fast-paced environment
- Bachelor's Degree preferred
- Basic understanding of racial equity principles and an ability to analyze situations with a racial equity lens
- Exceptional organizational skills and a strong attention to detail, ability to stay highly organized with multiple challenging priorities, with a strong capacity to identify and elevate critical information and produce synthesis for colleagues
- Experience working and communicating with senior leaders within an organization
- Expert project management skills and demonstrated track record of delivering superior-quality results
- Ability to build cooperative, respectful and trusting internal and external relationships
- Excellent interpersonal, written, verbal and analytical skills
- Comfort working in fast-paced, dynamic environments and a demonstrated ability to meet and shift priorities rapidly as well as flexibility to adapt to new situations and projects
- Enjoy working and collaborating with others
- An interest in working effectively across various platforms (Google, Microsoft, Salesforce, etc.)
- Experience handling data and operational reports; tech-savviness is preferred
